Overdue Library Book Notices

It is the end of the week, and library books are now floating into ‘overdue’ status.  They now need to send out notices, and in an effort to be ‘more green’ are trying to reduce paper/printing.  They can send an email notice, but cannot guarantee when that email will be read. The library wants this ability to be generated from 100 phones.

Solving this challenge will benefit the library in the following ways:

  • Proactively call out to holders of items in high demand to reduce check-out time, making them more available and increasing customer satisfaction
  • Calling out to customers with past due balances increases revenues without utilizing additional resources
  • Placing a call to the customer increases the library’s mind share within the local community increasing membership, visits, and support of special programs
  • Staying in touch with the customer base allows the library to survey current interests and stay in touch with relevant trends

Solution

The focus of this solution is an automated Dial Out application that is driven by information in the customer’s database.  As dates on checked out material surpasses due dates, the solution automatically initiates a reminder call to the holder’s contact information as stored in the database.

  • IPfusion-based routine runs in the background automatically checking for items checked out beyond their due dates; frequency of query to the database can easily be changed
  • Emails are sent to a specified user showing results of call outs running behind the scenes
  • Standard reporting feature shows the results of each number called
  • Recipients of reminder call outs can choose to be connected to internal lines to discuss or extend their check out period
  • Broadcast reminders to off-network phones, emails to desktops, or text messages to cell phones, all through a single, intuitive, three step web based GUI
