A local municipality is looking for a cost effective way to better manage its recreational activities for its constituents. Softball and basketball leagues, 5K runs, and other events at its parks, walking trails, and recreational areas require communications be sent to the participants in a timely manner. To perform this manually is too labor intensive; an automated solution is needed that would not tie up its telephony resources in the event of an emergency.

Solution
The focus of this solution is the ability to integrate to a native application which provides its users with an intuitive interface to specify a targeted audience and broadcast a message. The solution integrates the native application with the customer’s VoIP infrastructure, leveraging internal data bases to drive a Dial Out broadcast with the ability to receive acknowledgements from the recipients and analyze the results.
- Leveraging a customer internal application, select the targeted groups to send the broadcast to. For example, softball league participants scheduled to play on Field 4 at Smith Park, or by team name, or event name, etc.
- The native application provides a temporary data base of contact information that is used by the Dial Out application
- Allow the user to specify through the native application when to initiate the Dial Out process and post the timing information along with the contact no.’s to the temporary data base.
- Allow the user to specify the message to be broadcast using the native application and post the text string to the IPsession server for use with Dial Out.
- On a scheduled basis, query the temporary data base and post the contact no.’s and respective schedules to the IPsession server for the Dial Out application
- Allow users to view the Dial Out reports on IPsession, sorting by event name and date
Export information to a spreadsheet for further analysis or sharing amongst department personnel
